The purpose of 5S is to make a workplace function better by making it an easier place to work, specifically in manufacturing/warehousing. This Lean principle is a systematic approach to workplace organization and emphasizes the use of a specific mindset and tools to create efficiency and value. It includes the five steps of Sort, Set in Order, Shine, Standardize, and Sustain, and it involves removing what is unnecessary, organizing items, cleaning, performing maintenance, and making sure these things become positive workplace habits.

With a primary focus on efficiency and quality, we evaluate an operational effectiveness and operational suitability. We achieve this by analyzing control charts, and documenting observations of current state of business to identify specific opportunities for improvement. For example, an operation’s current processes, software, systems, financials, personnel, equipment, inventory mix, and more. 

Process Mapping

Process flow maps used to visualize the steps involved in a certain activity or process. There are two types:

• as-is: documents beginning to end, validated current state within a process to identify delays, wasted, cycle time, etc.
• should-be: documents beginning to end, validated improvements within the desired state.

Most organizations, whether positively impacted by financial growth, or negatively impacted by high turnover rates in staffing, find that many of their documented procedures are often outdated and/or not accurately represent current business operations, consequently, often require re-engineering and realigning of roles and responsibilities. SOP’s provide detailed explanations of what needs to happen to ensure accountability that a given process goes as planned.

Often, our firm is retained to set the process that helps defines the direction of an organization for a specific time-period. It identifies how an organization will allocate their resources to achieve a desired future state while positioning itself to be competitive within their given industry. Through this process, improvement areas are corroborated with leadership, and organizational goals and objectives are established. 

Regardless of industry, industry compliance measures, or internal quality assurance compliance, there are several key performance indicators (KPI’s) that can be easily measured through our firm’s multilingual market research center. Depending on what a business wants to monitor, the choice metric will vary. Our real-time survey systems help organizations to eliminate perceptions and captures accurate self-reported feedback. In contrast with many online survey software, our firm provides individualized surveys, with open-ended questions, which provided immediate client service incident notification whenever negative responses are documented. This provides our clients with the opportunity to mitigate complaints and concerns.

Types of Real-time Survey Systems

• Alumni Engagement: assess alumni feedback of relevant aspects of their educational experiences, and to explores alumni activity interests. In addition, helps to gauge feedback regarding priorities of capital campaign projects, and levels of financial commitment/contribution.
• Employee Desk Audits: after conduction one on one (1:1) interviews with a group of office personnel to obtain information about his/her roles and responsibilities, a daily self-reported activities log is submitted throughout a full business week. Self-reports are compared to roles and responsibilities to capture. The findings are shared with an organization’s leadership for potential improvement opportunities. 
• Employee Engagement: measures the degree to which employees are dedicated with their employer.
• Exit Interviews: assess the overall employee experience within the organization prior to departure and identifies opportunities to improve retention and engagement.
• Net Promoter Score (NPS): often viewed in all industries as the single question that predicts profit growth, NPS measures on a scale from 0-10 the degree of loyalty into three categories; Promotors, Passives, and Detractors (Subtracting the percentage of Detractors from the percentage of Promoters yields the Net Promoter Score):

• Promoters (score 9-10) are loyal enthusiasts who will keep buying and refer others, fueling growth.
• Passives (score 7-8) are satisfied but unenthusiastic customers who are vulnerable to competitive offerings.
• Detractors (score 0-6) are unhappy customers who can damage your brand and impede growth through negative word-of-mouth.

• • Parent/Legal Guardian Satisfaction: gauges level of parent/legal guardian satisfaction with the students’ educational program, and the feedback is utilized to improve the processes of the educational institution as part of quality assurance measures. 
  • Student Satisfaction:  gauges student’s level of satisfaction with the educational institution (lower and higher education).
  • Voice of Customer (VoC): gauges customer feedback about a business, product, and its services. It focuses on customer needs, expectations, understandings, and product improvement. Gather customer satisfaction metrics and actionable improvement suggestions.
  • Voice of Business Owner (VoBO): gathers business owners satisfaction metrics with city-wide services, and documents levels of city-wide priority goals by importance.

• Voice of Patient (VoP): similar to VoC; however, gauges level of satisfaction with healthcare services received, as well as captures improvement opportunities. Typically, these are conducted to a sample set of patients that have not been previously selected for compliance driven surveying (i.e., CAHPS, etc.). These surveys are conducted as part of the organization’s internal quality assurance program. In the event that a patient is not interviewable, information is gathered by the primary caregiver actively involved with primary care.

• • Voice of Resident (VoR): gathers residents’ satisfaction metrics with city-wide services, and documents levels of city-wide priority goals by importance.

• Voice of Tenant (VoT): similar to a VoR; however, specifically gathers tenants’ satisfaction metrics with property management groups.
